Job Title: Travelling Logistics Manager – Private Family Office
Location: Global, but based from the UK (with coordination base in Mumbai)

Role Overview:
We are looking for a highly disciplined, discreet, and hands-on Travelling Logistics Manager to manage complex private travel for a high-profile family. This role involves overseeing private jet arrangements, staff movements, and luggage logistics across multiple countries, often on short notice. A background in the military with at least 5 years of operational logistics experience or in previous logistics role is strongly preferred. The successful candidate must be comfortable working across time zones, managing real-time WhatsApp communications, and accompanying the family for extended periods (up to 6 weeks) with a 24/7 operational mindset.
Key Responsibilities:
Private Family Travel Coordination
- Plan and oversee all aspects of private jet travel, including schedules, ground handling, customs clearance, and VIP airport services.
- Work closely with aviation teams, security, and pilots to ensure secure and efficient family travel.
- Maintain absolute discretion and situational awareness throughout.
Ground Logistics & On-the-Move Operations
- Arrange seamless ground transfers for the family and staff at each destination, with focus on comfort, security, and timeliness.
- Prepare accommodation setups in advance, including family-specific requirements (children’s needs, dietary items, preferred layouts).
- Handle hotel, villa, or residence logistics: check-ins, advance setup, rooming plans, and special requests.
Staff & Support Coordination
- Schedule and manage travel for nannies, tutors, chefs, security personnel, and other household staff.
- Track and coordinate all travel documents and entry requirements for each staff member.
- Ensure synchronised movements across all parties using real-time communication tools.
Luggage & Asset Management
- Lead the packing and transfer process for personal and sensitive items, including children’s belongings, medical equipment, and high-value goods.
- Supervise baggage movement globally, coordinating with customs, shipping agents, and ground handlers as needed.
- Maintain inventories and ensure nothing is lost, delayed, or mishandled.
Real-Time Communication & Coordination
- Operate as the central hub of communication using WhatsApp and other real-time tools to coordinate across global teams and time zones.
- Provide immediate troubleshooting and decision-making while on the move.
- Maintain clear, calm, and professional communication even in high-pressure or rapidly changing scenarios.
Requirements:
- Minimum 5 years of hands-on experience in logistics, ideally with a focus on high-pressure, international operations.
- Former military background strongly preferred, with proven experience managing personnel and assets across multiple environments.
- Experience supporting UHNW families or private principals is highly desirable.
- Comfortable being abroad for up to 6 weeks at a time, with full-time availability and a “no-task-too-small” mindset.
- Highly organised, solutions-oriented, and unflappable under pressure.
- Fluent in English; confident managing global communication and fast-paced itineraries.
- Competent with WhatsApp, Excel, travel tools, and live coordination apps.
